System Administrator Dropdown Overview

Access the administration menu by clicking the Admin button located in the upper right corner of the screen.  To access the administration screens, click the arrow on the dropdown.

What it Does

Batch File Stamp Templates

Manages batch file stamp templates for the site.

Allows Administrators to create and modify batch templates without having to be in a project.

Cleanup

Performs site cleanup of temporary folder.

Helps free up disk space.

Configuration

Use the various tabs on this screen to manage and update your ProjectDox site configuration.

Updates and adds configuration keys to the ProjectDox installation web.config file.

Custom File Manager

Allows ease of access to email templates for creating new templates or the editing of existing ones.

Allows System Administrators to modify email templates without having to access the database directly.

Discussion Categories

Create categories for use with discussion boards. Discussion board consist of two lists - Standard and Closure.

Standard categories are assigned when a discussion is created and Closure categories are assigned when a discussion is closed.

Holiday

Holidays may vary from jurisdiction to jurisdiction and the U.S. to Canada, the feature allows customization of the listing. The Holidays table is populated by the customer and Avolve professional services.

ProjectFlow Workflow definition includes a Calendar Type selection to calculate due dates and reminders by calendar days or business days. Holidays are included in both.

Project Creator Config

The Project Creator Config tab allows updating of the AppTypeIntegration table without direct access to the database.

Use of this screen requires a thorough understanding of workflow configurations. Incorrect configuration can cause the workflows to malfunction.

Project Export Templates

Manages project export templates. These templates are set to export specified portions of a project including document versions, metadata, incoming email and attachments, and discussion board.

Useful for exporting projects to another site or permanent archive system for storage. Affects the number of projects and accessibility of projects on the site.

Project Import

Allows the importing of exported projects back into the site.

Affects the number of projects and accessibility of projects on the site.

Project Status

Defines categories available for project status and if they are globally available or only for System Administrators.

Affects Status dropdown available from the Edit Project screen.

Project Templates

Create or manage a project template configuration: associated project, permit type, folder structure (including files if desired), individual permissions, roles, metadata,

New projects created from a template will match its properties. When changing a template, the only change that is retroactive is the addition of group members. Any other modification affects only projects created after the change.

ProjectFlow Administration

Used to configure and manage ProjectFlow options. Please refer to the ProjectFlow section of this document for information about these screens and their application in ProjectDox.

Affects many different aspects of workflows, including configuration and the appearance of the eForm. Full understanding of the available features is recommended prior to executing any changes. 

Projects

Project management including viewing and editing a project’s properties, archiving, unarchiving and copying or deleting a project.

Project properties and access.

Remote Job Queue Manager

Shows all the records in the JobQueue table.

Gives the ability to change the status to one of the pre-defined statuses.

Reports

Create, display or edit database reports.

Report access. New reports and modified SQL must be run and activated by a database administrator before they are active.

Required User Info

Allows System Administrators to determine which fields will be required in the User Profile screen.

Upon first log in, required fields must be filled in by the user before they can exit the screen. Adding new required fields will take a user to the Profile screen on their next login.

Scheduled Task Manager

Enables the viewing of tasks in the SQL database.

Allows the System Administrator to view the tasks, their status, set low priority, or set a recurrence.

Site Groups

Controls site groups and users. Site groups are a collection of related users. Every ProjectDox user must be in at least one site group. Users can only see members within site groups in which they are members.

All users must be a member of at least one site group.

Stamp Templates

Create, modify, or delete stamp templates.

For users with stamp permissions, these stamps are available for batch stamping or as individual markup entities.

System-Wide Email

Use to send system-wide email to all active site users (or a selection thereof).

Used in circumstances where you would want to alert the entire community of events, such as scheduled system maintenance. Messages will not be sent to users who have never logged in.

Translations

Change the names of fields in the user interface, translate to alternate languages, or add additional links and logos.

Affects various views of the ProjectDox application. Consult your System Engineer prior to making changes.

Troubleshoot

Testing basic features of the application: sending email, uploading files, web browser communication and verify the publishing-related paths and folder permissions are correct.

Any failures should be resolved or reported to Avolve Support or your Avolve Systems Engineer.

User Import

Import a list of users (including profile information) from a file to the ProjectDox database. Can be used to create new users or mass modify profiles of existing users.

Multiple user profile data is read and imported into the database as a list rather than manual entry, one user at a time. The association of a project is not required.

User Metadata

Define the user profile default metadata fields. And the interface for populating and editing them.

Depending on configuration, users may be required to populate metadata information.

Users

Manage users and their information, including the ability to revoke a user. Manage user’s global ProjectDox permissions. To assign granular permissions on a per-project basis, use the Permissions tab in the project’s Edit screen.

Affects whether a user has permission for Admin rights, multiple login, project creation, stamp, reset password (if OAS is not enabled) and reports. Provides the SA a site-wide view of users.

Web Service Test

Create a simple project by specifying a template.The Permit Example tab allows an SA to test your project template and specifications prior to automating with the ProjectDoxProjectCreator Service.

A project will be created in the Active Projects List for the invited users. The project name is determined by contents of the Permit Number field.

Workflow Configurations

Configure and manage ProjectDox Workflow options. Please refer to the ProjectDox Workflow documentation for information about these screens and using workflows in ProjectDox.

It is inadvisable to make any changes to these tabs unless you have full knowledge of the impact of your change.

Workflow Reassignments

Globally manage ProjectDox Workflow task reassignments for users involved in the workflow.

Allows all user’s tasks to be reassigned.
