The Workflow Review Assignment Manager screen is used to assign and unassign reviews during the Department Review activity of a workflow. Additionally, if a current reviewer suggests additional departments participate in the review, the Review Coordinator uses this screen to add or reject the additions.
There are two ways to display the Workflow Review Assignment Manager:
1. Through a task assigned to the Review Coordinator.
2. Clicking on the Workflow Designer icon within the workflow instance list, then clicking on the Review Assignment Manager icon (found underneath the Department Review activity).
When a reviewer makes a request for additional department reviews to take place, the Review Coordinator is notified with a task; it must be completed in order for the workflow to move forward, whether the Review Coordinator chooses to accept or reject the additional reviewers.
1. Check the box for a department in the list.
2. Set the assignment type in the Task Assignment column.
3. If applicable, adjust the priority.
4. Set the due date. This is associated with notification emails which will be sent to the person responsible for the task as reminders.
A confirmation dialog will appear, listing the review groups that will be assigned. Choose either Yes or No in order to complete the assignment.
Once a group is given a review, it will disappear from the Available/Requested Review Groups area and will be listed under the Current Review Groups instead.
1. Uncheck the box of the group you want to remove in the Current Review Groups area.
2. Click the Unassign Reviews button.
3. A confirmation dialog will appear, displaying the review groups chosen to be unassigned. To confirm, select Yes; to cancel, select No. Once unassigned, the group will once again display in the Available/Requested Review Groups list.
Rules
The Workflow Review Assignment Manager is accessible during the department review phase only. If it is opened at any other time, an error will display.
All level groups are shown within this area.
Subgroups are indented in the Available/Requested Review Groups section to represent their position in the hierarchy of the workflow's configuration.
All review activities have a default "due days out" setting of 7 business days. This can be changed prior to the activity becoming active.
If the Assign Reviewers button is clicked before selecting a group from the Available/Requested Review Groups area, an error will appear.
If any startup task exists, then no tasks from assign reviewers will be created.
If the Unassign Reviewers button is clicked before selecting a group from the Current Review Groups area, an error will appear.
You can only unassign a task which has a status of Pending in the Task Status column. If the task has been accepted or completed, the option to unassign will be disabled.
If a group is displayed in blue, this indicates that the group does not have any users. The ability to assign tasks to it will be disabled.
If a group is displayed in red, this indicates that the group is present in the configuration, but does not exist in the project. The ability to assign tasks to it will be disabled.
If a Review Coordinator attempts to unassign all the groups in the Current Review Groups area, an error will occur. The removal of all groups would cause the running workflow instance to bypass the Department Review activity completely.
