Workflow Management

When a project is created, the workflow can be configured to start either:

  1. Automatically, based on settings in the project template used to create the project, or

  2. Manually, by a user with permission to start the workflow. The permission is granted to one or more project groups with the Allow Workflow Start permission setting. Avolve refers to these persons as “review coordinators.” A Project or System Administrator must still be a member of the group to be able to start a workflow. For users with the permission, the Project Specific Task List displays a link for starting the workflow. When the link is selected, the coordinator can choose to add a priority to the process being run, to give it a higher visibility in the application and allow users to sort by either column. The priority selection has no additional functionality other than to give a visual appearance of importance for the process in the tasks lists. The coordinator may also select a due date to display on the task list to show the target completion date. The due date and priority options are available when a workflow is started manually (for ProjectDox Workflow only).

When the due date is reached and the workflow is active, the system will highlight the row on the task list red to bring attention to the process in the application. A workflow has reached its due date at midnight the day the task is due. For example, if you had assigned a workflow on 4/24/2016 at 4:30pm and set a due date of 4/25/2016, then as of midnight on 4/25/2016, the workflow is past due and the highlight in red would display in both task lists.
