Quick Review is Avolve’s “ad-hoc” workflow solution within the Best in Class workflow series. This tool enables communication between anyone involved in the project. For example, a plans examiner could communicate directly with an applicant to ask questions, request additional information and share required documents completely independent of the master workflow, shortening the length of the approval process.

Ability to request response prior to the user returning the workflow to the originator.
The Quick Review workflow can be started by any group in the project that is granted the permission. To do this, check the Allow Ad Hoc Workflow Start for the desired group and save.
Once a group has the permission to start a workflow, they will have a link available on the Workflow Portals screen to enable them to do so.
When the button is selected, a dialog will appear. This screen is used to select a workflow definition, select a type and name the instance being created. It is suggested the instance name describes the main purpose of the workflow since it will appear in all subsequent forms for easy identification.
When selecting an Ad Hoc Workflow Definition, a Permit Type (Subtype) must be selected. These types are used for classifications purposes and to categorize the discussion.
The list of subtypes will come from the workflow type that the QR workflow type has been assigned to. In addition, the following subtypes will be available as default:
General Info
Approved Request
Change Request
Design Review
Additional Information Request
General Questions
Missing Plans or Documents
Fees
The person who creates the workflow becomes the responsible party for its completion. The first task in the workflow will automatically launch in a new window upon starting it, enabling the user to assign responders. Within this step, the following actions can be taken:
Creation of instructions for the task that will be sent to the responders.
Selection of files to add to the eForm.
Adding users to the task, both individually or as a group.
Attaching thumbnails is done by placing a checkmark next to the desired file and clicking the Add Files button. The thumbnails will now be visible to the responder within the eForm.
Once the responder receives the task, the eForm will display the instructions created by the originator and be able to respond accordingly.
At this point, the originator can choose to complete the process or return to the responder with any questions or concerns.
With the Quick Review Complete step, the response history is available for review.
