The Review Configuration Manager screen allows a System Administrator to select and alter the review configuration of a workflow definition. Any changes made will affect instances created based on the definition going forward; this is not retroactive.
It is strongly advised to consult your
assigned Avolve Professional Services contact before making any changes
to a configuration.
Within the configuration, the following fields can be found:
Review Configuration Name - Name created for review config.
Project Template - This dropdown allows you to select a template to base a workflow from.
Assign Reviewers – When checked, this checkbox allows the group in question to assign reviews to its subgroups.
Perform Review – When checked, this checkbox enables the selected group to take part in the review process.
How Assigned – This dropdown specifies how the task will be assigned. There are three possible options:
a. Individual – Then this option is selected, the task is assigned to a specific individual.
b. FirstInGroup – The most common setting; when this is selected, the task goes out to all members of a group. The first user to accept the task becomes responsible for its completion. At that point, the task disappears for the other users.
c. AllInGroup – This option sends the task to all users within the specified group. In order to move the workflow to its next step, all members of the group must complete the task. If multiple groups assign the same group, the review only gets assigned once and any reviews that get assigned after the first one will be ignored. This option is only supported in department review.
Initial Due Days Out - This field is used to specify how many days until the review is due.
Resubmittal Due Days Out - A Project Administrator can set up notification emails to alert the user of this due date before/after it is due, or both.
Cascade
buttons works like Update All button, changes Priority/Days even
for all
groups.
Rules
A group can only exist in one place of the configuration.
There can only be one group at the top of the configuration hierarchy.
If groups are added, deleted, or their name changes (whether at the project or template level), the workflow configuration must be updated to reflect this. This will prevent the group from being unavailable for review tasks.
To delete a review configuration you must select workflow type and project template.
Each point in the hierarchy can have unlimited subgroups.
Each group in the review configuration can have a specific “due days out” set. If left blank, the default of 7 business days will be used.
Groups, which have tasks assigned (whether pending or accepted), cannot be moved within the review configuration, or deleted. If you want to move or delete a group, unassign the task.
A group that has been part of a review cycle already will not be allowed to be deleted.
Can be used for multiple workflow definitions and if the review config is changed it will not affect the running instances but it will affect all definitions using that review config.
If a project template is associated with more than one workflow definition, it will create one for each of the associations and produce duplicates.
